1. Scope

This notice applies when you use WeeDrive's apps or websites to request or receive rides.

This notice describes how we collect and use your data if you request or receive ride through WeeDrive's app.

This notice specifically applies if you request mobility services, including rides via WeeDrive account. Those who use WeeDrive to request service are referred to as "users" in this notice.

Our privacy practices are subject to applicable laws in the places in which we operate. Due to data protection and other laws in these regions, including the European Union's General Data Protection Regulation ("GDPR"), WeeDrive does not perform some of the data collections and uses described in this notice in the EEA.

2. CCTV Policy

2.1 Purpose

WeeDrive endeavours to provide a safe and secure environment to protect its staff, customers and the interests of our stakeholders using our services. Closed Circuit Television ("CCTV") cameras and systems (including visual and audio) are installed on most urban (mini)buses for the following purposes:

  • To enhance staff and public safety
  • To enable monitoring and surveillance to improve security, monitor patronage and deter criminal activity on public transport and in general
  • To capture information that could be used to investigate crime, a health and safety situation and incidents involving WeeDrive staff, contractors, customers and the adolescents
  • To provide information to schools with respect to students' behavior on public transportation

This policy has been created to ensure that WeeDrive, its employees and contractors (including public transport operators) comply with good practice and with respect to the collection, use and disclosure of images captured by CCTV operating on private transport. By operating or using WeeDrive service, you agree to the terms and conditions of this policy (as may be amended from time to time).

Scope: This policy applies to all WeeDrive users (users and drivers), all WeeDrive contractors and anyone who may enter the areas covered by the CCTV system operated by or on behalf of WeeDrive.

2.2.1 CCTV Locations

CCTV on WeeDrive minibuses is to be situated in locations which are clearly linked with the system's specific purpose and recorded in the bus operator's register of CCTV systems.

2.2.2 Monitoring

The recording devices/servers for CCTV systems are to be installed in secure locations as agreed upon by WeeDrive's nominated CCTV Administrator. Only persons trained and authorised as CCTV Operators are allowed access to recorded CCTV footage stored in these locations.

Data Retention: All footage is kept for the duration of the intended purpose as determined by WeeDrive from time to time, and in any event no longer than 30 days. This period reflects standard industry practice and is consistent with our contractual responsibilities to council and other customers. After that time, the data is overwritten as part of the recording process, unless it is exported for evidential purposes as may be required.

Live streaming system monitoring may be carried out from time to time to assist with crime detection, deterrence and prevention, and to monitor potential health and safety hazards to WeeDrive drivers, users or contractors.

WeeDrive reserves the right to have remote access to all footage created by the CCTV systems.

2.2.3 Control and Operation of Systems

Unless WeeDrive agrees otherwise, CCTV systems will be installed on minibuses owned or operated by WeeDrive or contracted by WeeDrive at its depots and offices.

The CCTV systems will operate for the full duration of the time that the minibus is in use and 24/7 for depots and offices.

All areas of our minibus will at some point in time be monitored by the CCTV system, the exceptions being listed below:

CCTV coverage will not be directed at private property except unavoidably as part of a wide angle or long shot while panning past.

2.2.4 User Access

WeeDrive will ensure its contractors who install, operate and monitor CCTV systems receive appropriate training in the technical, legal and ethical parameters of appropriate camera, audio and data use and understand their responsibilities under the Act.

The CCTV Administrator is responsible for:

  • Ensuring that CCTV equipment is installed on the minibuses
  • Organising the training and authorising of staff of the private transport operator in relation to this policy
  • Ensuring the on-going maintenance and accuracy of the CCTV system
  • Ensuring that footage, audio or other data from the CCTV system requested by the CCTV Administrator or the Police is provided within 24 hours of the receipt of the request and the data released is recorded in the CCTV Access Log
  • The establishment, oversight and maintenance of a record of all released or viewed CCTV footage, audio or data
  • Referring all other requests for data from the CCTV system to the CCTV Administrator
  • Maintaining security of the CCTV system, the monitors and footage
  • Maintaining the CCTV Access Log
  • Ensuring signage is in place on all bus services and in accordance with this policy
  • Organising training of the bus operator's employees and contractors in relation to the CCTV system, this policy and the Act
  • Ensuring the bus operator complies with the Act and this policy in relation to the CCTV system
  • Dealing with any requests for access or correction of data by individuals in accordance with this policy and the Act
  • Maintaining confidentiality regarding CCTV data, duties and observations and ensuring that all employees and contractors maintain such confidentiality
2.2.5 Use of Information Collected

In accordance with the General Data Protection Regulation (GDPR), and subject to the exceptions listed therein, information collected by the CCTV systems will only be used for the purpose for which it was collected.

2.2.6 CCTV Information Access and the Police

The Cyprus Police may access footage on short notice from CCTV systems that have been set up for purposes linked with crime detection and prevention. All footage released to the Police at the request of the Police, or when criminal activity is suspected, will be recorded in the CCTV Access Log and filed with the WeeDrive Privacy Officer.

2.2.7 CCTV Information Access by Individuals

Unless there are valid reasons to refuse access in accordance with the General Data Protection Regulation (GDPR), members of the public have the right to request access to, and correction of, any personal data held by the CCTV system. A request by the public to view footage that contains information relating to other individuals must be in writing and will be dealt with as either:

  • a matter to be referred to the Police
  • a request for access to official information held by the local authority, which will be considered in accordance with applicable Freedom of Information legislation. Members of the public may also request access to, and correction of, their personal data under the General Data Protection Regulation (GDPR)
  • where the footage requested for viewing only shows the individual who has made the request, the request will be dealt with in accordance with the General Data Protection Regulation (GDPR)

Any request to view footage will be limited by the need to protect other persons' privacy. If a request to view the footage is unable to be granted without unreasonably breaching others' privacy, a written description may be provided by the CCTV Operator of what they are doing in the footage. Any such requests will be responded to within 20 working days by the CCTV Operator and are subject to review by a WeeDrive Privacy Officer (Data Controller) as per WeeDrive's policies and procedures.

2.2.8 CCTV and Operator Staff

WeeDrive will investigate any suspected breach of the use of the CCTV system by the bus operator's employees / contractors. Any staff incidents or misconduct detected by the CCTV system will be handled in accordance with the contract between WeeDrive and the authority which it provides contracted services to.

2.2.9 CCTV Signage

Individual systems and/or camera areas will be clearly signposted to notify the public. Signs will clearly display the message "CCTV and Audio recording in operation" or a similar message and be of a size and style that makes them readily visible to people entering the area. Where it is impractical to include all the information, the sign will direct the adolescents to the WeeDrive website where this policy can be viewed.

WeeDrive uses data to enable reliable and convenient transportation. We also use data:

  • To enhance the safety and security of our users and service, and to prevent and detect fraud
  • For marketing and advertising
  • For customer support
  • For research and development
  • To send non-marketing communications to users
  • In connection with legal proceedings

We use data for analysis, research and product development, including training machine learning models. This helps us make our services more convenient and easier-to-use, enhance the safety and security of our services, and develop new service and features.

This includes surveys and communications regarding elections, ballots, and other political processes that relate to our services. For example, we may notify you of ballot measures or pending legislation relating to WeeDrive's service in Limassol.

C. The Core Automated Processes

WeeDrive uses automated processes to enable certain parts of our service, including functions essential to our business such as matching, pricing and fraud prevention and detection.

WeeDrive relies on automated processes to enable essential parts of our service, including matching (pairing users requesting and providing transportation), pricing, safety and fraud detection and prevention. These processes allow WeeDrive to provide a seamless and safe experience to all users every day. This section describes how automated Routing & Assignment, Pricing, Safety, and Fraud prevention and detection work, including how they impact your WeeDrive experience, and the personal and non-personal data used to enable these processes.

1. Routing & Assignment

WeeDrive uses algorithms to efficiently generate daily routes and assign minibuses/drivers to each route. This helps us minimize wait times for you and enable efficiency for users/drivers.

The process is triggered when you request transportation through WeeDrive. Our algorithms then evaluate various factors to determine the best route, including your location, requested destination, the availability of drivers/minibuses, traffic conditions, and historical data.

The assigned driver or minibus is then notified of the route. Once the trip is accepted, you will receive a booking confirmation via email, including a unique 4-digit code.

We are constantly refining our routing & assignment process to provide the best experience to all users on our platform and may consider different factors depending on the location where you use WeeDrive.

2. Pricing

When you request transportation, WeeDrive uses algorithms to determine the price you pay based on a variety of factors, including:

  • Your location
  • Estimated time and distance to destination
  • Availability and proximity of drivers
  • Time of day
  • Traffic conditions
  • Historical data such as traffic patterns and seasonal trends
3. Fraud Prevention and Detection

WeeDrive uses algorithms and machine learning models to prevent and detect fraud against WeeDrive or our users. This includes efforts to monitor for account takeovers, suspicious user behaviours, and unauthorized access attempts.

These tools look for patterns that may indicate fraudulent behaviour, such as those that vary significantly from typical user behaviour. To do this, WeeDrive performs real-time monitoring of information collected from or generated by users, including location data, payment information, and WeeDrive usage. We also examine historical data and compare it against real-time data to help detect suspicious behaviour.

WeeDrive may limit your access to its service or require that you undertake a particular action such as verifying your identity before allowing such access, if it detects potentially fraudulent activity.

D. Data Sharing and Disclosure

We share data with our affiliates, subsidiaries, service providers and partners, for legal reasons, or in connection with claims or disputes.

Emergency Services

We enable you to share your data with police, fire, and ambulance services in the event of an emergency or after certain incidents. For more information, please go to the "Choice and transparency" and "Emergency data sharing" sections below.

For Legal Reasons or in the Event of a Claim or Dispute

WeeDrive may share your data if we believe it's required by applicable law, regulation, operating license or agreement, legal process or governmental request, insurance policy, or where the disclosure is otherwise appropriate due to safety or similar concerns.

This includes sharing data with law enforcement officials, public health officials, other government authorities, insurance companies, to enforce our Terms and Conditions, user agreements, or other policies; to protect WeeDrive's rights or property or the rights, safety, or property of others; or in the event of a claim or dispute relating to the use of our service. We may also share data with others in connection with, or during negotiations of, any merger, sale of company assets, consolidation or restructuring, financing, or acquisition of all or a portion of our business by or into another company.

E. Data Retention and Deletion

WeeDrive retains your data for as long as necessary for the purposes described above, which varies depending on data type, the category of user to whom the data relates, the purposes for which we collected the data, and whether the data must be retained after an account deletion request for the purposes described below.

For example, we retain data:

  • For the life of your account if such data is necessary to provide our service (such as account data)
  • For defined periods as necessary, including legal or regulatory requirements (for example, we retain transaction information for 7 years)

You may request that we delete your account through the Privacy menus in the WeeDrive app.

Following an account deletion request, we delete your account and data, except as necessary for purposes of safety, security, fraud prevention or compliance with legal requirements, or because of issues relating to your account (such as an outstanding credit or an unresolved claim or dispute). We generally delete data within 90 days of an account deletion request, except where retention is necessary for the above reasons.

III. Choice and Transparency

1. Privacy Settings

You can set or update your preferences regarding location data collection and sharing, emergency data sharing, and notifications in WeeDrive's Privacy Center which is accessible via the Privacy menu in the WeeDrive apps.

Location Data Collection

You can enable/disable WeeDrive's collection of your mobile device location data through your device settings, which are accessible via the location sharing settings.

Share Live Location

You can enable/disable WeeDrive's sharing of your mobile device real-time location data with your drivers through your device settings, which are accessible via the privacy settings.

Emergency Data Sharing

You may enable WeeDrive to share your data with emergency police, fire and ambulance services if necessary, during a trip. If you do, we will share data including your name and phone number; approximate location at the time the emergency call was placed; the minibus's make, model, colour, and license plate information; pickup and dropoff locations; and your driver's name.

You can enable/disable this feature via the Location sharing menu in the Privacy Center in WeeDrive's apps, or the Safety Center.

We want to ensure you have access to tools that help you stay safe when using our service. To help you get assistance in an emergency, you may be able to call the police (or, in some locations, private security) through the WeeDrive app. Where available, and with your consent, we will share your location and other trip details with the call taker.

It is your choice whether to share your location and trip details with the call taker. You can enable or disable location and information sharing at any time in the Emergency Data Sharing section of your Privacy Settings.

The location we share is your latitude and longitude, as determined by your device's operating system. Please note that your device's location information may not always be fully accurate, especially in dense urban environments.

You have rights under the GDPR, including the right to access, correct, or request deletion of your personal data. For more information, please refer to our Privacy Notice.

Notifications: Discounts and News

You may enable WeeDrive to send push notifications about discounts and news from WeeDrive.

2. Device Permissions

Most mobile device platforms (such as iOS and Android) have defined certain types of device data that apps cannot access without the device owner's permission, and these platforms have different methods for how that permission can be obtained. You should check the available settings on your devices or check with your provider.

3. In-app Ratings Pages

After every trip, drivers and users can rate each other on a scale from 1 to 5. An average of the ratings you receive is displayed to your drivers.

You can find your average rating in the Account section of the WeeDrive app and also access a breakdown of your average rating in WeeDrive's Privacy Center.

4. Marketing and Advertising Choices

Personalized Marketing Communications from WeeDrive

You can choose whether WeeDrive may personalize marketing communications (such as emails, push notifications and in-app messages) about WeeDrive products and services. You may also choose whether to receive any marketing emails or push notifications from WeeDrive.

5. User Data Requests

WeeDrive provides a variety of ways to learn about, control, and submit questions and comments about WeeDrive's handling of your data. In addition to the methods indicated below, you may also submit data requests via our email: [email protected]

Data Access and Portability

Depending on where you are located, you may have the right to access your data and to portability of your data. Regardless of your location, you can access your data, including your profile data and trip history, through the WeeDrive apps. You can also use the platform to view a summary of certain information about your account, such as your rating, trip count, rewards status, and how long you've been using WeeDrive. You can also use our platform feature to download a copy of the most requested data relating to use of WeeDrive, including account, usage, communications, and device data.

Changing or Updating Data

You can edit your name, phone number, email address, and payment method through the Settings menu in WeeDrive's app.

Deleting Data

You may request that WeeDrive delete your account through WeeDrive's Privacy Center.

Objections, Restrictions and Complaints

You may request that we stop using all or some of your data, or that we limit our use of your data. This includes objecting to our use of data that is based on WeeDrive's legitimate interests. WeeDrive may continue to process data after such objection or request to the extent necessary to provide our services or required or permitted by law.

In addition, depending on your location, you may have the right to file a complaint relating to WeeDrive's handling of your data with the data protection authority in Cyprus.
